Our client, a leading main contractor are seeking a Document Controller in County Galway.
The specific responsibilities and requirements for the Document Controller position are as follows:
1. Plan Organization: Efficiently organize and continually update the Project Document Plan, ensuring timely dissemination of updates to the project team.
2. Document Quality Assurance: Verify and maintain the quality of all documentation, guaranteeing that it meets the required standards before presenting it to the client.
3. Technical Documentation Assistance: Collaborate in the creation of technical documents pertaining to the project’s requirements.
4. Information Dissemination: Disseminate reports and updates to the project teams as needed, ensuring timely delivery.
5. Meeting Recording: Record and distribute project meeting minutes whenever necessary.
6. Document Management: Safeguard documentation in alignment with Project Management and Document Control procedures.
7. Sensitive Data Protection: Uphold the strict confidentiality of sensitive information, adhering to legal regulations.
8. System Guidance: Provide users with guidance on the proper utilization of the document management system to maintain consistency.
9. Support for Audits: Aid in the preparation for audits and provide assistance during the audit process.
10. Ad Hoc Project Participation: Engage in ad hoc project assignments and fulfill additional administrative duties as directed by the Project Management Team.
11. Ongoing Team Support: Continuously provide support to the project team and ensure the execution of quality systems according to the defined requirements
- Experience: Ideally possess 2 years of experience working in a Document Controller/Project Administration position, preferably in an engineering or construction environment.
- Familiarity: Familiarity with Quality Standards and Document Control Procedures.
- Organizational Skills: Excellent planner and organizer with strong communication skills.
- Team Player: Be a dependable team player with strong leadership skills.
- Prioritization: Ability to prioritize workload effectively.
- Attention to Detail: Display a high level of attention to detail in all tasks.
- Self-Motivation: Be self-motivated and able to work independently and take initiative as needed.
