We’re working with a global engineering and construction management firm in their search for a proactive and organized Office Manager to join their growing office in Dublin.

Responsibilities:

  • Oversee office facilities maintenance, equipment upkeep, and supplies management.
  • Collaborate with HR Director to ensure smooth new hire setup, including desk arrangement, technology provisioning, and orientation.
  • Conduct office orientation presentations for new team members.
  • Welcome visitors and prepare meeting rooms for both suppliers and customers.
  • Organize internal and external events, handling supplier coordination, ordering food, and event setup.
  • Serve as the primary contact for team inquiries related to office and IT requirements.
  • Manage office IT needs, liaise with IT teams for new hires, and troubleshoot equipment issues.
  • Assist the director group with administrative tasks, including document creation and travel arrangements.
  • Collaborate with marketing teams to implement marketing plan, including social media posts and marketing data reports.
  • Create high-quality PowerPoint presentations that portray the company favorably.
  • Support report generation and maintain the internal communications page.
  • Coordinate internal meetings, including presentation creation and logistical arrangements.
  • Maintain records of work hours and staff qualifications for H&S Director.
  • Create CVs for internal staff to support new proposals.
  • Monitor CIS (Client Information System) and relay relevant information to the Business Development Director.
  • Manage a database of potential clients.
  • Communicate with vendors for office supplies and cleaning services.

Qualifications:

  • Proven experience in office management or related roles.
  • Strong Office 365 skills including excellent word, excel and PowerPoint
  • Strong organizational, communication, and problem-solving skills.
  • Proficiency in IT troubleshooting and equipment management.
  • Attention to detail and ability to multitask effectively.
  • Familiarity with marketing coordination and event planning.
  • Knowledge of ISO compliance and record-keeping.
  • Collaborative and proactive approach to work.
