Company Overview: Our client is a leading provider of Renewable Energy Solutions dedicated to delivering sustainable and environmentally-conscious energy solutions. They are currently seeking a Document Controller to join their team in Waterford. This role plays a crucial part in ensuring the efficient and organized flow of project documentation and information.
Key Responsibilities:
- Administration Support: Provide comprehensive administrative support to the project team, assisting with various tasks to ensure project efficiency.
- Point of Contact: Serve as the primary point of contact for both external and internal project-related inquiries, facilitating effective communication.
- Project Administration: Manage all aspects of day-to-day project administration, ensuring the smooth operation of project-related activities.
- Document Control System: Establish and manage a document and information control system for the project, including data input, filing, and distribution of drawings and design documentation.
- System Configuration: Set up and configure a document control system tailored to the needs of the projects.
- Record Maintenance: Maintain accurate records of all drawings and construction documents, ensuring accessibility and organization.
- Document Review: Oversee the internal review process, ensuring that all documents are thoroughly reviewed by the Project Team.
- General Administration: Handle general administrative tasks, including typing, distribution, copying, and filing of correspondence.
- Planning Applications: Assist with planning applications and related paperwork as needed for the projects.
- Contractor Coordination: Ensure that outside contractors provide required information in a timely manner to meet project deadlines.
- Accounts Collaboration: Collaborate with the accounts department regarding project completion for invoicing purposes.
- Quality and Safety: Implement a Quality, Health, and Safety Management System to support ISO accreditation requirements.
The Ideal Candidate:
- Construction Site Experience: Prior experience working in a construction site environment, ideally in a similar document control role, is preferable.
- ISO Knowledge: Familiarity with ISO 9000, ISO 14000, and ISO 18000 standards is advantageous.
- Workload Prioritization: Ability to effectively prioritize a diverse and high-volume workload to meet project needs.
- Stakeholder Communication: Proficiency in creating and maintaining positive relationships with key stakeholders through effective communication.
- Software Skills: Advanced knowledge of Microsoft Word, Excel, and PowerPoint.
- Qualifications: Qualifications in Quality, Business Administration, Engineering, or Science are advantageous.
